3. Health and Wellness Information

We collect health and wellness information only when it is relevant to evaluating your needs, reducing foreseeable risks, or tailoring the services you request.

Welcome Wellness provides fitness, corrective-exercise, nutrition-coaching, massage, and wellness services. These services are not a substitute for medical diagnosis or treatment from an appropriately licensed health-care professional.

We do not sell or share client health and wellness information for third-party or cross-context behavioral advertising, and we do not use information from health-intake forms to target ads through advertising platforms. We may use information you provide to respond to your inquiry, follow up about your needs, and recommend relevant services or programs.

We may disclose this information to service providers that store or process it on our behalf, with your authorization, when necessary to provide requested services, when required by law, or when reasonably necessary to protect safety or legal interests.

Please submit only information that is reasonably necessary for your services. Please do not send payment-card numbers or unnecessary sensitive health information through ordinary email. No website, email system, or internet transmission can be guaranteed to be completely secure.

4. Service Providers and Information Sharing

We use third-party providers to operate our business, including:

  • Base44 for website hosting, databases, forms, and related infrastructure;
  • Calendly for appointment scheduling;
  • Stripe for payment processing;
  • Google Workspace/Gmail for business email and communications;
  • Mailchimp for newsletters and marketing emails; and
  • Google Analytics or similar services for website analytics.

These providers may process personal information as necessary to provide their services and according to their own privacy policies.

We may also disclose information to professional advisers, insurers, contractors, government authorities when legally required, or parties involved in a business sale or transfer.

We never sell personal information in exchange for money.

5. Cookies and Analytics

Our website and embedded services may use cookies, local storage, pixels, and similar technologies to operate the website, maintain security, remember preferences, process forms and payments, provide scheduling, and understand website traffic and usage.

We use Google Analytics or similar analytics services, which may automatically collect website and device information when you visit our website.

Our embedded Calendly scheduling widget loads automatically. Calendly may display its own cookie banner and preference controls within the scheduling widget.

You may block or delete cookies through your browser settings. Disabling cookies may prevent some website features, including scheduling and payment functions, from working properly.

Our website does not currently respond to traditional browser “Do Not Track” signals. Third-party services such as Google Analytics and Calendly may collect information through their own technologies when their services are used on our website.

6. Email Communications

We may use Mailchimp to send newsletters and marketing communications and to measure email opens and link selections.

You may unsubscribe from marketing emails at any time by using the unsubscribe link in the email or contacting us.

Unsubscribing will not prevent necessary appointment, payment, or service-related messages.

We do not intentionally place detailed health-intake information in Mailchimp.

7. Retention and Security

We retain information for as long as reasonably necessary to provide services and meet business, tax, insurance, safety, contractual, and legal obligations.

When information is no longer reasonably needed, we may delete, anonymize, or securely dispose of it. Some information may remain temporarily in backups or records that must be retained.

We use reasonable administrative, technical, and organizational safeguards to protect personal information. However, no method of electronic storage or transmission is completely secure.

You may contact us to request:

  • access to personal information we maintain about you;
  • correction of inaccurate information;
  • deletion of information we are not required to retain;
