This privacy policy sets out how Welcome Wellness LLC (“Welcome Wellness”, “we”, “us” and “our”) uses and protects collected information. Welcome Wellness is committed to ensuring that your privacy is protected. Whose information does this privacy policy apply to?

This privacy policy applies to information we collect from:

  • clients;

  • prospective clients;

  • former clients;

  • people who subscribe to our newsletters; and

  • visitors to our website.

What is Personal Information?

Personal information is defined as information that specifically identifies an individual, such as a name, address, telephone number, or email address, and information about that individual’s activities when directly linked to that person. Personal information also includes demographic information, such as date of birth, gender, geographic location and preferences when such information is linked to other personal information that identifies you.

How do we process Personal Information?

We comply with our obligations to confidentiality and privacy laws by storing and destroying personal information securely; by not collecting or retaining excessive amounts of data; by protecting personal information from loss, misuse, unauthorized access and disclosure; and by ensuring that appropriate technical measures are in place to protect personal information. We store your personal information electronically and sometimes in hard copy and use it for the purposes set out below.

Clients, prospective clients, and former clients:

  1. We use your name, telephone number, and email address to make and rearrange appointments.

  2. We use your name and email address to send you marketing materials.

  3. We use Gmail as our email service. Any personal information or health history transmitted via email is protected by Gmail’s encryption and security measures. We will also monitor any emails sent to us, including file attachments, for viruses or malicious software. Please be aware that you have a responsibility to ensure that any email you send us is within the bounds of the law.

  4. Health history or medical information you provide to us is only used for the purposes of developing exercise programs tailored to you, that are conscious of past or potential injuries, risks, or limitations. We will never disclose your health information without your knowledge and express written consent.

  5. We use a trusted third-party payment processor, Stripe. Your billing and credit card information are collected, encrypted, and stored securely. Stripe is certified to PCI Service Provider Level 1, the most stringent level of certification available in the payments industry.

Subscribers of our newsletters:

  1. We maintain and use records of subscribers to our newsletters, only with their consent, for marketing purposes. This data is stored and transported electronically.

  2. We primarily use Squarespace, and sometimes MailChimp, to deliver our e-newsletters. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. Our website users:

  1. We use Squarespace as the web host for our website. For more information on what Squarespace does with website visitor data, see Squarespace’s privacy policy.

  2. When someone visits our website (www.sbwelcomewellness.com), we use Squarespace’s built-in analytics as well as a third-party service, Google Analytics, to collect standard internet log information and details of visitor behavior patterns. We do this to track data such as the number of visitors to the various parts of the site. This information is aggregate data and is only processed in a way which does not identify anyone.

  3. We use website cookies to improve user experience of our website by enabling our website to ‘remember’ users for the duration of their visit – using a ‘session cookie’. For more information, please see the list of cookies Squarespace uses.

Control of Personal Information

We give you the opportunity to opt-out of receiving communications from us and to view, correct or remove your personal information.
